How to choose

1. Start with your real need. If you mainly track sales deals, a focused tool like Pipedrive is enough. If you want marketing, sales and support connected, look at HubSpot or Zoho.

2. Count the people. Most CRMs charge per user. A team of three and a team of thirty have very different bills, so price the team you will have in a year.

3. Read the free plan limits. Free plans are useful for testing, but they cap users, contacts or features. Check the caps against your list.

4. Add up the extras. Onboarding fees, add-ons and AI credits can move the real cost well above the seat price.

5. Test with your own data. Import a real list into a free plan or trial before you commit to a year.

CRM Software FAQ

What is CRM software?

CRM stands for customer relationship management. It is a tool that stores every customer and lead, the conversations you have had with them and the deals you are working on, so the whole team sees the same information.

Which CRM is best for a small business?

For a very small team, start with a tool that has a permanent free plan, such as HubSpot or Zoho CRM. If you only track sales, Pipedrive is simple; if budget is the main concern, Freshsales has the lowest entry price of the paid options here.

Are there free CRMs?

Yes. HubSpot, Zoho CRM and Salesforce each list a free plan. Pipedrive and Freshsales offer free trials instead. See our best free CRM list for the limits.

How much does CRM software cost?

Entry prices in this list run from about $9 to $25 per user per month, and full-featured plans reach hundreds of dollars per user per month. Add-ons, onboarding and admin time can add to that.
